Ordering Procedure

Checking for pre-existing voice mail on the phone line

Before you order service for an existing phone number, you should check to see if a a mailbox already exists for a particular phone number.

  1. Dial 512-232-1001.
  2. When prompted, enter a box number (normally the 5-digit campus phone number) and press the pound key. If a box exists, you’ll hear the prompt to leave a message. If not, you’ll hear, “No mailbox at [number].”

Authorization

By submitting an order including a UT Account and the name of an authorized signer, you are certifying to ITS that you have been given permission by the signer to place the order.

Modifying or deleting existing service

  • To modify existing mailboxes, send an e-mail to smartvoice-orders@its.utexas.edu and provide the phone number and the new name and EID to be associated with it, or specify non-EID and include the name of your department or college.
    NOTE: To modify boxes that will be EID boxes following this modification, you may use the EID SmartVoice Form in TXShop (when filling out the form, select "Modify" in the drop-down menu).
  • To delete service, send an e-mail to smartvoice-orders@its.utexas.edu and provide the phone number and current user information, if known.

Ordering new service

Send all of the required information outlined below in the body of an e-mail to: smartvoice-orders@its.utexas.edu. Note: If you are ordering multiple boxes, and the General Information is the same for the entire order, you do not have to repeat it for each box.

General Information:

  • Department name
  • UT Account number to be charged
  • UT Account authorized signer's name
  • Requestor info: Your name and phone number

Mailbox Information:

  • Phone number that needs voice mail, plus the following additional info according to the box type:
  • Additional info for EID boxes:
    • Name of user
    • EID of user
    • Note: There is an optional online order form that may be used for EID boxes only; requires UT Direct login. See EID SmartVoice Form.
  • Additional info for Non-EID boxes:
    • Specify “Non-EID” or “departmental” (instead of name and EID).
  • Additional info for Routing boxes:
    • Specify “routing box.”
    • For each sub-box, give name and EID of end-user, or specify “Non-EID.”
    • List sub-boxes in the order in which they should be placed in the menu.
